(Recurring, Duplicate, and Overlapping Orders)**
Sometimes you will receive more than one inspection order for the same property. These may be recurring inspections, duplicate orders, or overlapping assignment types. This lesson explains exactly how to handle these situations correctly and avoid the mistakes that commonly lead to rejections.
1. Types of Multiple-Order Situations

A. Recurring Inspections
These occur:

Weekly

Bi-weekly
-
Monthly
-
Or at client-specific intervals
They require consistent documentation over time.
B. Duplicate Assignments
These happen when:

Two clients request the same address
-
A client duplicates an order by mistake
-
An update is issued shortly after a previous request
C. Overlapping Inspection Types
Example:

You receive an Occupancy Check and a No Contact Inspection for the same address
-
You receive a PCR and an Occupancy Check close together
These require strategic handling.
2. Always Treat Each Assignment as a Separate Order

Even if they are for the same property, NMFS requires:

Separate photos uploaded per order
-
Separate notes per order
-
Separate submission in InspectorADE
You cannot submit one set of photos for two different inspections.
This is critical and prevents:

Cross-contamination of data
-
Client rejections
-
Corrections requests
-
Loss of compensation
3. How to Complete Multiple Inspections Efficiently
A. Arrive at Property Once
You do not need to visit the property twice if you have:

Two inspections due the same day
-
Inspections that allow the same vantage points
But, you must still:

Upload separate photo sets
-
Write separate notes
-
Submit two separate inspections
-
Follow instructions for each assignment
B. Take All Required Photos for BOTH Orders
Example:
Order 1: Occupancy Inspection
Order 2: Property Condition Report (PCR)
When on site:

Take the full Occupancy set
-
Take the full PCR set
-
Organize them appropriately in each order
-
Submit separately
4. Handling Conflicting Instructions

If you see conflicting requirements:

One order requires a Confidential envelope
-
The other does NOT
Follow this rule:
If ANY order at the same address requires an envelope → Leave the envelope.
Then:

Document envelope placement in the order that requires it
-
In the other order’s notes, write:
“Confidential envelope placed at front door as required by [inspection type].”
This maintains consistency.
5. Handling Different Due Dates
If an inspection is:

Due today
-
Another due next week
Still follow these rules:

If you’re already at the property, complete both
-
If you cannot complete both (time, daylight, safety), complete the one due today
-
Mention in NMFS notes if conditions prevented completing both
6. Using Photos Without Confusion
To avoid mixing up photos:

Capture photos in logical order per inspection type

Use brief pauses between sets (helps grouping)

Immediately upload each set after completing the order

Do NOT rely on memory later
InspectorADE timestamps help, but organization is better.
7. Notes Must Be Specific to Each Order
Even if two orders are performed at the same time:

Notes for Occupancy Check focus on occupancy indicators.

Notes for PCR focus on condition of structure, damages, yard, etc.
Never copy/paste notes between orders — customize each.
8. Handling a New Order After You Already Completed One Recently
If you completed an inspection recently but receive a new order today:
You must:

Return to the property

Perform a new inspection

Take new photos
-
Write fresh notes
-
Submit the new order normally
NMFS cannot use old photos or old notes for new assignments.
9. What To Do If You Notice You’ve Already Submitted One Inspection but the Next Is Identical
Still:

Complete the second one
-
Take new photos
-
Submit separately
Even if it feels redundant, clients require separate documentation.
10. When to Contact NMFS About Multiple Orders
Contact NMFS only if:

Three or more duplicate orders appear at once
-
Instructions contradict legal/safety standards
-
You suspect a technical issue created dozens of duplicate jobs
-
A client appears to have issued an inspection in error that would require trespassing to complete
Otherwise, complete each order normally.
