This lesson provides a clear, step-by-step guide to using the InspectorADE app properly. Following this workflow ensures accuracy, prevents rejections, and keeps NMFS clients satisfied with consistent, high-quality inspections.


1. New Assignment Appears in Your Queue

When a new work order is assigned, it will show in the InspectorADE job list.

What you should do immediately:

  • Open the order

  • Read all instructions carefully

  • Check for special requirements

  • Verify due date

  • Make sure the property is within your coverage area

Never assume two inspections are the same — always read the notes.


2. Review the Work Order Details

Inside the order, review:

  • Inspection type

  • Contact requirements

  • Required photos

  • Special questions or fields

  • Door hanger/envelope instructions

  • Utility verification requirements

  • Any warnings or red flags noted by NMFS

This step prevents almost all mistakes.


3. Prepare for the Field

Before leaving for the property:

  • Verify phone battery is charged

  • Ensure GPS/location services are ON

  • Make sure camera lens is clean

  • Bring blank Confidential envelopes (for door hangers)

  • Bring clipboard or work order printout (optional)

  • Confirm you have safe access to the area


4. Arrive at the Property

When you arrive:

  • Confirm you are at the correct address

  • Match house number, mailbox number, street view

  • If numbers are missing, verify with neighboring houses

Take an address verification photo before anything else.


5. Perform Required Contact Attempt (If Applicable)

Follow NMFS-standard contact procedure:

  • Knock firmly on front door only

  • Wait 30–60 seconds

  • Listen for movement

  • Document the attempt in notes

  • Leave Confidential envelope if required

  • Take clear photo of envelope placement

Never go to side or back doors.


6. Begin Taking Required Photos

Follow the photo sets appropriate to the inspection type:

  • Standard exterior set

  • Occupancy indicators

  • Damage or hazard photos

  • Meter readings

  • Any client-specific required images

Ensure all photos:

  • Are clear

  • Have GPS metadata

  • Match what you will write in your notes


7. Document Notes Thoroughly

Write notes that:

  • Describe exactly what you observed

  • Support occupancy determination

  • Explain hazards or issues

  • Match your photos

  • Include details needed for client approval

Notes must be factual and professional.


8. Complete All Required Data Fields

InspectorADE may require:

  • Utility status

  • Grass height

  • Presence of damage

  • Contact attempt results

  • Vacancy or occupancy status

  • Special checklist items

Never leave fields blank unless “N/A” is appropriate.


9. Review All Information Before Submission

Before submitting:

  • Double-check photos

  • Verify notes are complete

  • Confirm all questions are answered

  • Ensure no required photos are missing

  • Make sure GPS/location metadata is present

This step alone prevents 80% of rejections.


10. Submit the Report

Tap Submit in InspectorADE.

Wait for the confirmation message:

  • “Inspection successfully submitted”

  • If errors appear, correct them immediately

  • Do not leave location until you know the upload succeeded if cell signal is weak

If you need to retry later, save the job and upload when service returns.


11. Respond to Corrections Quickly (If Requested)

If NMFS requests a correction:

  • Read the notes carefully

  • Fix only what is requested

  • Do not delete required photos

  • Do not change occupancy determination unless asked

  • Submit corrections promptly

Fast corrections help maintain a strong relationship with NMFS.
